    8/13 1st TEAM EMAIL

    Welcome to FPYC Running. We are excited for the fall cross country (XC) season. This is a mass team email coming from the database of registrants. You will receive a some additional emails before the first practice.

    Volunteer Coaches: We are in need of additional coaches to have a better coach to athlete ratio. We understand that not all coaches are able to attend every practice. The more coaches we have the easier it is absorb absences. If you are able, please sign up as a coach or assistant coach via the registration page on the FPYC website. If you have questions about signing up to help coach, please email us. We have a number of coaches who are able to assist new coaches. Workout suggestions are provided at practices. We will soon be ordering coaches' shirts so sign up soon to be sure to get one. 

    'Meet the Coaches Night': Friday, August 23rd from 6:30 - 7:30 p.m. at the Pacers running store in Fairfax. The address is 10420 North St., Fairfax. This is an informal way for kids/parents to come and meet some of the coaches and ask questions. This is not required. Come for as little or as long as you like.There is no obligation to buy any items. Pacers is offering a 10% discount on items purchased. Additionally, any time you purchase an item at Pacers, you can receive the discount if you mention you are a member of FPYC. Pacers currently has stock of women's sizes down to 5 and men's sizes to 7 but inventory of those smaller sizes is limited. 
    First Practice:
     Our first practice is Sunday, August 25th at Fairfax High School at 1 p.m. This is the ONLY practice at the high school as it provides us with seating space for the team meeting. If you are unable to attend practice, we do not need to be notified. Plan to arrive a little early to get settled. We would like to start the meeting as soon as we can. After coaches' introductions, the kids will break into age groups start practice with the coaches, and we will go over some more details about the season and parents can ask questions.

    The kids will run at this first practice. If your child is new to running, you may want to have them run a few times leading up to the first practice. More information about the first practices and parking will come before the first practice. 

    Volunteer Sign-Up Genius Requirement and Access: There is a ONE event sign-up requirement for families. Please use this link to access the sign-up information.     Accessing the FPYC Running Web Page and Schedule: From a computer...Go to www.fpycsports.com. Hover over 'sports' at the top and then scroll down to click on running. You will then see a blue column on the left where you can click the links to get information on the different topics. This works best from a computer. If you are having trouble, try using a different browser. 

    From a mobile phone...Go to www.fpycsports.com. Then click where it says Site Navigation. Then click on the down arrow on the right. Then click on Running. You will have to scroll down to see the links and/or turn your to a horizontal position to see all the information. 

    Running Drills: The FPYC Running Drill Circuit and a document containing some of the dynamic stretches that are done during our practices can be found in the 'Running Documents' link located on our running webpage. Families and coaches may wish to review these documents. Feel free to make copies for your use. The athletes will learn these at practices. For those who are unable to attend all of the practices, you can use these as part of a warm-up prior to a workout if your child is running at home or on a different day. 

  • Running Log: The fall XC Running Log can be used to keep track of running mileage during the season. This is not required but those who complete the log, achieve certain mileage goals for their age, and hand in their log for review at the end of the season, will get recognition at the end of season banquet. The log is available on the FPYC running webpage under 'Running Documents.' Families are also welcome to create their own document and submit that. 

    8/19: 2nd TEAM EMAIL
    This is a mass team email coming from the database of registrants. If this is your first team email, please respond to this email and let us know. We will forward the team email that was sent on 8/13. 
    If there are 2 adults in a family who should be receiving the emails and only 1 adult is getting them, let us know. We are unable to tell when an email address does not receive the emails. If you need to add an adult contact to receive emails, you will need to go into your Stack Sports account to add that person. Make sure to click on "Update" after you make your change. We suggest families make an email folder to save team emails to refer back to for details. 

    First Practice Information:

    'Meet the Coaches Night'
    : Friday, August 23rd from 6:30 - 7:30 p.m. at the Pacers running store in Fairfax. 8/13 email has more details. 

    Lake Accotink Runners:
     If your child plans to practice at the Lake Accotink locations, please email us and let us know. This way we can let the coaches there have an idea of the number of runners to expect. Accotink practice meet-up spots are Tuesdays under the train trestle and Thursdays in the front of Kings Glen ES. Practices at Accotink will start on Tuesday, August 27th, 6-7 p.m. Please see our online schedule. You do not have to commit to practicing at this location all the time. Runners are welcome to vary where they practice. We would just like to get a general idea who may show up there and provide it to the coaches. Please email us asap if your child plans to practice there. Be aware that we do not do uniform purchases at the Accotink location, so plan to attend one of the other locations on uniform purchase days if your child does not already have a uniform from a prior season.

    Fairfax Runners:
     We do not need to be notified if your child plans to practice at the Fairfax locations. Tuesdays and Sundays are at Van Dyck park and Thursdays are at Providence park. Exceptions: Please see the online schedule for Saturday and Sunday meet locations. 

    FPYC Email: Be aware that we only access the FPYC email from a computer at home, not on our phones. Plan ahead to email us on practice days if you have a question as we may not be available close to practice time.  We can be reached at running@fpycsports.com.

    Weather Policy: Please see the weather policy under Practice Info on the running web page. Please do not email us asking if practice will occur. Practice will go on as planned unless we send out an email cancelling practice. We will run in rain but cancel for thunder and lightening. If you feel that your child would be unhappy running in rain, it is fine to keep them home. We would encourage them to do a run when the weather clears. If thunder/lightening occurs on your drive to practice, you should consider practice cancelled. 

    Practice Schedule: We do not send reminders each week before practice. The schedule is online on the running web page.  8/13 email has the details on how to access the schedule.

    Volunteer Requirement: 8/13 email has details to access the sign-up. 

    8/22 3rd TEAM EMAIL:
    This is a mass team email coming from the database of registrants. If this is your first team email, please respond to this email and let us know you need the other team emails that were already sent out. Emails were sent on 8/13 and 8/19. 

    "Meet the Coaches" Night: 8/23 at Fairfax Pacers. Details in prior emails. 

    Sunday Practice:
      Our first practice will be this Sunday, August 25th, at 1 p.m. at Fairfax High School in the football/track stadium. Arrive early to allow time to get your child's race number* which they will wear at all practices and most meets. We will hold a team meeting in the bleachers on the parking lot/school side starting as soon as everyone has gathered and then break into groups for practice. We do not have the keys to the bathroom at the track or the school. Have your child use the bathroom at home before practice. 

    This past spring there was another group using indoor facilities at FHS on Sundays so parking was a bit tight when we were arriving for practices. Since this Sunday is the only XC practice at FHS, it won't be an ongoing issue. We do not currently know if the group is still using the facility, but we wanted you to be aware.  

    Race Numbers at Practice/Meets:  Getting numbers at the start of practice will be a bit hectic initially. This process will get easier. Kids who are new can tell the helpers their last name OR NUMBER..SEE BELOW*. Numbers will be in alphabetical and numerical order in bins. Multiple helpers will be at the first few practices but kids can also get their own numbers. It is most helpful if the kids memorize their number so it will be easier to find the next time. Numbers should be turned in at the end of practice. There will be a separate return bin. Once they turn in the number, they can take one DumDum lollipop. If we didn't get your child's nickname on the number, let us know. **If you registered after we assigned the first set of numbers on 08/20, then your child's number will be in the last bin. It will not be alphabetical but will still be in numerical order. 
    *NEW THIS YEAR for BIBS: We have put the bib number list under "Running Documents" on the FPYC running web page. If you would like to look up your child's number before coming to practice, that may make the line move faster. Your child can tell the helper their number and the helper can let them know which bin it will be in at every practice. If you signed up after the numbers were assigned on the 20th, the number is not listed and will be in the last bin. This list will not remain up online for an extended time.

    Accotink Runners: Your race bib number will stay with the Fairfax numbers. We need this for our meets. You will have a different bib at Accotink with just your name and age group. 

    Age Groups on Race Numbers IMPORTANT:  There will be a two year age group (5-6, 7-8, etc) on the race number. This corresponds to the age group for competition this year. The age group should indicate whatever age your child will turn this year, not necessarily their current age. For example, if your child is 8 but will turn 9 on Dec. 31st, they are 9-10 for competition purposes. If the age group on the number is wrong, let us know right away. We need this to be correct for accurate meet results. 

    Water:
     Bring filled water bottles with names written on them. There is a fountain at FHS and Van Dyck (but we cannot guarantee fountains are in working order), and the fountain at Van Dyck is not close to where the kids will be running. No water fountain is at Providence Park. Accotink has a water fountain but again not close to where the kids will typically be running. 

    Volunteers: Sign in at the number/bin area. There will be a sign-in sheet. We will mark off that you are doing your volunteer requirement. Thank you in advance.

    8/25 4th Email

    There are a number of new families that have signed up over the last few days. Three team emails have already been sent out to the group starting on 8/13. If you recently signed up, please read below on how to access the emails you have missed.

    8/26 TEAM EMAIL

    Bib Number Pick-Up: There are pavilions at Van Dyck and Providence parks where we typically have the pick up area for practice/race bib numbers. If a family or other group has a reservation for a party or gathering for the pavilion/tables, we cannot use the space. Please be respectful of their right to the space. If there is a party taking place, please do not settle your belongings in the pavilions. We will set up elsewhere. 

    Water: Please remember to bring plenty of water to practice. The forecast is looking to still be warm the next couple of weeks. Remind your children to take extra breaks if they need them. They can tell the coaches they need a break and that is not a problem. The water fountain at Van Dyck is not convenient to where the kids will be running and no fountain is available at Providence. 

    Parking at Van Dyck (Tuesdays and Sundays): You can park in the Van Dyck parking lot. It will fill with our group size. You can park across the street at Daniels Run ES. You can park in the streets off University Ave. There is a path that leads into Van Dyck off Univ. Ave. You can park in the Joseph Willard Health Center parking lot on the corner of Old Lee Highway and Layton Hall Dr. You CANNOT park at St. Leo the Great Church or School. We do not have permission. Please be very cautious as we have a lot of runners milling around and at the end of practice, the car line onto Old Lee Hwy backs up. If you need to be able to leave quickly, we do not suggest parking in the Van Dyck lot.

    Parking at Providence Park (Thursdays): There is a parking lot at the park and parking along the street (West Dr.) You cannot park in the spaces for the apt. complex right outside the park or at the end of the parking lot by the FPYC clubhouse along where the parking lot road curves. This is a hazard if an emergency vehicle needs to get through the parking lot and there is not enough space. There may be other groups at Providence when we are there for practice, so be aware that parking will get crowded. 

    Lake Accotink Tuesday Meeting Spot Clarification:  The Tuesday meeting spot for Lake Accotink is under the elevated train trestle that you see if/when you drive in on Lake Accotink Rd. It is near the dam, down the hill from the bathrooms, playground, and merry-go-round. There is also a parking lot off of Heming Ave. and you can walk down the path to the merry-go-round area  and then continue down to the meeting spot. You can get to Heming Ave. off Braddock or off of Queensbury which is off of Braddock depending on direction from which you are driving. There is a parking area near the elevated train trestle if you drive in on Lake Accotink Rd. Check Googlemaps. 

    Thursday's Accotink meeting spot is at the front of Kings Glen ES. 

    8/27 TEAM EMAIL
    This is a mass team email coming from the database of registrants. This is mostly a repeat email to capture the new families that have signed up since the last team email went out. If you signed your child up for cross country in the last couple of days, please follow the instructions below to view the emails that you have missed. Review the emails and parking instructions for practices. 

    Accotink Runners: Remember to email us your intent to practice at Accotink during the week. Coach Megan will compile a list of parent contacts in case she needs to reach a parent during a practice session.

    8/31 TEAM EMAIL

    NO Practice Sunday 9/1: We hope everyone enjoys the holiday weekend. Our practices resume on Tuesday 9/3. See the schedule. We suggest that runners get in a run this weekend.  

    IMPORTANT FOR NEW FAMILIES: If this is the first team email you are receiving, go to the FPYC running web page to review all the team emails that have been sent to the team so you are up to speed on procedures, race numbers, parking, and a whole lot more. The emails are under "Running Documents." If you do not know how to access the running web page, then email us. You will also need to email us to get access to the sign-up genius for choosing your ONE volunteer requirement spot.

    T-shirts and Uniforms: Orders have been placed. We will update the dates you will be able to get your child's t-shirt and make uniform purchases as soon as we have shipping confirmations. Once we know the dates we will have the items, we will open up the sign-up genius for these volunteer slots.

    T-shirts and Uniforms:
     Orders have been placed. We will update the dates you will be able to get your child's t-shirt and make uniform purchases as soon as we have shipping confirmations. Once we know the dates that we will have the items, we will open up the sign-up genius for these volunteer slots. We did order some extra T-shirts to account for late sign-ups but if you signed your child up after 8/26 we cannot guarantee they will be able to have the exact shirt size they would want. We are keeping track of the order of late registrants to fairly give out shirts.

    9/9 Team Email

    Sign-up Genius: The volunteer slots to assist with uniform days have been opened. 
     
    Uniform Purchases: Uniforms will be available for purchase at Fairfax practices on 9/12, 9/15, 9/17, and 9/19. There are no uniform purchases at Lake Accotink, so plan to attend practice at one of the other locations to get a uniform if don't have one from a prior season. We will not bring the uniform bins to our first meet on 9/22, so you will need to get one before then. We expect to be set up about 20 min. before practice starts and will stay 15 min. after practice. 
     
    It is an FPYC requirement that participants wear uniforms to compete in team competitions. 
     
    Cost: $28 for a set. $14 for a singlet, $14 for shorts. The cost of uniforms is not included in the registration price. When you indicated sizes for a uniform on the registration form, that did not constitute an actual uniform purchase but gave us the data so we knew approx. how many of what sizes to order. You do not have to buy a set if one piece of what you already have still fits.  
     
    Please bring exact change or checks made out to FPYC. No credit cards will be accepted. 

    Sizes in Stock: We are to receive another shipment of uniforms on approx. 09/13. Until we get the 2nd order, the only item that is completely out of stock is the Adult Medium tops. If this is a size you need, you will need to wait until this shipment has arrived to get a top. 
     
    New Uniform Style: The second order of uniforms will be a slightly different style as the company is discontinuing the uniform we have been using. We do need to sell all the old uniform style in each size. Families are allowed to continue to wear the older uniform style as long as it fits. You will not be required to upgrade in the upcoming seasons. 
     
    Where to go at Practice to Buy the Uniform: Uniforms at Providence Park practice days will be in the FPYC clubhouse building at the back of the parking lot. At Van Dyck, uniforms will be in the pavilion at Van Dyck. If another group has a reservation for the Van Dyck pavilion, then we will set up elsewhere in the grass. Uniforms will be in bins labeled with sizes. Families may get whatever size fits. You are not limited to a size you picked when you registered. We will not have a list of what you chose during registration. You can mix and match singlet and short sizes to get what you need. Volunteers will be available to help and collect payments. 
     
    Uniform Donations: If your family has uniforms that no longer fit, you can donate them back, and we will make them available on a first come, first served basis. We don't sort or wash these. We just have what is given back to us. 
       
    9/13 Team Email- There is a lot of information on different topics in this email. Please read thoroughly. 

    Growth Plate Issues/Inflammation Presentation: This Sunday, Madhura Gurjar, MSPT, Cert MDT, will be present at the end of practice to talk to the team. She works at the Allied Health Solutions PT Clinic in Merrifield. She will give a brief presentation and then be available to answer any questions the kids or parents have about running injuries and prevention. We will gather asap after practice. If the pavilion is being used, we will find a shady area to gather. Our hope is that is information can be useful to families. 

    Volunteers for T-shirts: The sign-up genius for T-shirt volunteers is now open. We have added a couple of dates starting this Sunday. 

    Practice T-shirts: Shirts will be available for distribution starting on 09/15 and the next few practices after that***. The cost for these shirts IS included in your registration fee. It is not required that runners wear these shirts to practice, but they are welcome to do so. 

    There will be helpers to get the shirt sizes and cross your child's name off the list. You will be given the size indicated on the list as that is the size requested when your registration was completed. If the size is too small/large, you can keep it or not take it and ask the helpers to mark 'wrong size, didn't take/ or took ' next to the name. You can ask the helpers to mark a better size next to your name. When we feel we have given families enough opportunity to get their shirts, we will open it up for exchange. We will not be able to guarantee you will get your desired change. This will take a few practices to get through. 


    ***There are a number of families who signed up after we ordered the shirts. If you registered after Aug. 26th, hold off on sending your child to get the shirt. We would like to make sure that the families who signed up earlier get the shirt size they put in for when they registered. You can check your email registration confirmation for the date when you signed up. This is also bib #s 225 and higher. We did order some additional shirts expecting more families to sign up, but we had to guess at the additional shirts sizes that would be needed.  We will send an email when these families can start asking if there are available shirts. This will be through at least next week. We apologize if your child doesn't get a shirt. We try to make a reasonable estimate of how many additional shirts to order and order them early enough so the kids can start wearing them. 

    Accotink Runners T-shirts: If you are unable to attend Sunday practice at Van Dyck, please let us know. We can coordinate with the Accotink coaches to get you your shirts. 

    Uniform Purchases: We will continue with uniform purchases on 9/15, 9/17, and 9/19. We will not be bringing uniforms to our home meet. Please bring checks made out to FPYC or exact change. $14 for a top. $14 for shorts. $28 for a set. Due to the PT presentation on Sunday, please try to get uniforms before practice if possible.

    Banquet: We have just found out that our request for Fairfax HS for our banquet on 11/6 has been declined due to another event taking place there that evening. The Fairfax HS Band uses the cafeteria for evening practices. We are working on finding a substitute date. Stay tuned. 

    9/14 TEAM EMAIL 
    This email contains information about signing up for the DCXC meet on September 28th. If you are not attending the DCXC meet, you do not need to read any more of this email. If your child will run at DCXC, please read all the info. 

    DCXC: The DCXC meet requires us to pre-register runners, so you must tell us that your child is going to compete. Do not email us to tell us to enter your child. It gets too complicated to keep track of emails. You must sign your child up on the sign-up genius noted below for the specific meet by the due date noted. You do not need to tell us if you are not going to attend. SIGN-UP is due 9/22.

    Please ignore all information that involves registration and meet fees when reading the websites and meet flyers. We take care of all the registration requirements and paying the fees for meets for our team. Be aware that we pay for each athlete so please plan to attend if you sign up. Once the away meet directors close registration, we cannot add more runners, change the entry, or delete the entry.

    Saturday, 9/28 DCXC Meet at Kenilworth Park in D.C. There are 2 race options a) Elementary School (ES K-5th) and b) Middle School (MS 6-8th). FPYC High School (HS) age runners are not able to run at this meet. There are HS races, but athletes must be on a HS team to compete. Both ES and MS races are 1.5 miles. This meet does award a team trophy to the top team in each race if there are enough runners to score.

    Much of the meet website is related to the HS races, but there is parking and schedule info. The schedule is also posted under Fall Season Updates on our website. Here is the meet website:

    Once we determine who is going to the DCXC meet, we will figure out which coaches are available to assist runners for packet pick-up, warm-ups etc. 

    Here is the sign-up genius link for away meets. Copy and paste the link into your browser. Sign-Up for the DCXC meet is due 9/22. EMAIL COACHES FOR SIGN UP LINK

    If you have never used a sign-up genius, here are the instructions. Log in or create an account if you don't have one.  

    Under the correct meet date, click in the box where it says 'Sign-Up.' Then click down below where it says 'Submit and Sign Up.' In the comment section, enter the runner's name and any other info requested (grade, race distance etc). Then click where is says 'Sign Up Now.'
